They likely contain Financial Statements, Tax Returns, Trusts\/Wills, and various other Notes.<\/p>\n\n\n\n<p>Documents can be very useful for enhancing <a href=\"https:\/\/www.greminders.com\/articles\/pre-meeting-briefs\/\">Pre Meeting Briefs<\/a> or getting information about a client via <a href=\"https:\/\/www.greminders.com\/articles\/ask-anything\/\">Ask Anything AI Assistant<\/a>.<\/p>\n\n\n\n<p>GReminders now has integrations into various Document Systems including Box, Sharepoint, One Drive, Google Drive, One Note, and Redtail Documents. More are on their way, contact support@greminders.com for more.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How It Works<\/h2>\n\n\n\n<p>To benefit from these you need some organization.      At MINIMUM you need a top level folder that contains most\/all of your Clients.   We will use Box as an example. Putting Bank Statements or Tax Statements into a specific folder and calling it &#8220;Tax Return 2025.pdf&#8221; is VERY helpful.   This gives information to the AI to understand what the file is and why it should read it.<\/p>\n\n\n\n<p>From here you should have a bunch of files in those folders.<\/p>\n\n\n\n<p>Next, you need to connect the Household or Client &#8220;Top Level Folder&#8221; to your CRM. This tells the system what top level folder is connected to the Contact\/Household Record.   <\/p>\n\n\n\n<p>From here GReminders can read the files\/folders in Document Repository.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Using Documents in the AI Assistant<\/h2>\n\n\n\n<p>Now that the top level folder is connected to the Client Record, we can navigate to the CRM Contact within GReminders.   Go to CRM Contact &gt; Search for the contact record and start asking questions<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"743\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2025\/11\/grady-gr-detail-1024x743.png\" alt=\"\" class=\"wp-image-9929\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2025\/11\/grady-gr-detail-1024x743.png 1024w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2025\/11\/grady-gr-detail-300x218.png 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2025\/11\/grady-gr-detail-768x557.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2025\/11\/grady-gr-detail.png 1298w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>You can ask a variety of questions, some examples below:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Summarize portfolio statements uploaded in the last 3 months<\/li>\n\n\n\n<li>Is there Banking on File?<\/li>\n\n\n\n<li>Who are the beneficiaries on the Schwab Account?<\/li>\n\n\n\n<li>What was their AGI on their last 2024 tax return<\/li>\n\n\n\n<li>Do they have a Trust on file?   Summarize it<\/li>\n\n\n\n<li>etc&#8230;.<\/li>\n<\/ul>\n\n\n\n<p>The system will try to interpret this information and go find the data from the files. We suggest a standard naming convention for files. i.e.<br>Smith Household Tax Return 2024.pdf<br>John Smith 401k Rollover 2025-02-15.pdf<br>Smith Trust 2025 Feb.pdf<\/p>\n\n\n\n<p>The cleaner and clearer your files and folders are named, the better AI can consume and read them.  <\/p>\n\n\n\n<p>Just like a new employee, if you clearly label things it will be easier for that person or AI to find.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Support<\/h2>\n\n\n\n<p>AI and AI Prompting can be involved and complicated in some cases.
