GReminders client automations are designed to put your client notifications and review scheduling on autopilot.<\/p>\n\n\n\n

Getting Started<\/h2>\n\n\n\n

  1. Accessing Client Automations:<\/strong>\n
      \n
    • Click on\u00a0Bulk Sends<\/strong>\u00a0under the\u00a0Operations <\/strong>menu.<\/li>\n\n\n\n
    • Note: Bulk sends are available to users subscribed to the GReminders Business Plan, and you will need to request access to this feature.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
    • Purpose of Bulk Sends:<\/strong>\n
        \n
      • Bulk sends automate communications with existing clients or prospects who have given you permission to contact them by email or SMS.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n

        Setting Up Automations<\/h2>\n\n\n\n
          \n
        1. Approval:<\/strong>\n
            \n
          • Once approved to use the feature, click on New Bulk Send<\/strong>.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
          • Types of Automations:<\/strong>\n
              \n
            • One-time Send:<\/strong> Runs once.<\/li>\n\n\n\n
            • Ongoing Automation:<\/strong> Runs continuously based on a set schedule.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n

              Example Setup: Ongoing Automation<\/h2>\n\n\n\n

              1. Choosing a Purpose:<\/strong>\n
                  \n
                • General Notification:<\/strong> For birthday or anniversary wishes, or any other criteria.<\/li>\n\n\n\n
                • Request for an Appointment:<\/strong> Typically used for inviting clients to schedule quarterly or annual reviews.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                • Communication Method:<\/strong>\n
                    \n
                  • Choose to send the request by Email<\/strong> or SMS<\/strong>.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                  • Automation Name:<\/strong>\n
                      \n
                    • Create an internal name for the automation.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                    • Determining Recipients:<\/strong>\n
                        \n
                      • Import a list from a CSV file, send to internal users or employees, or link directly to your CRM (e.g., Redtail).<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                      • Scheduling:<\/strong>\n
                          \n
                        • Set the automation to send every 12 months on the first Monday at 8:00 a.m.<\/li>\n\n\n\n
                        • Specify an end date, number of occurrences, or let it run continuously.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                        • Criteria for Recipients:<\/strong>\n

                          • Select criteria to determine who will receive the request.<\/li>\n\n\n\n
                          • For example, select Redtail Tag Groups<\/strong> and specify the tag that will trigger the automation.<\/li>\n\n\n\n
                          • Additional criteria can be included (e.g., clients in a specific category).<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                          • Preview Contacts:<\/strong>\n

                            • Click on Preview Contacts<\/strong> to see a list of contacts that match your criteria.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                            • Directing Contacts:<\/strong>\n
                                \n
                              • Direct contacts to the appropriate booking calendar (e.g., servicing advisor annual review booking calendar).<\/li>\n\n\n\n
                              • Include a fallback option if no servicing advisor is associated with the contact record (e.g., a routing form to ask the client’s adviser).<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                              • Message Editing:<\/strong>\n

                                • Edit the default message provided by GReminders, ensuring to leave the single-use link variable for tracking appointments.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                                • Ensuring Appointment Scheduling:<\/strong>\n

                                  • Click on the Repeat Until Meeting is Booked<\/strong> checkbox.<\/li>\n\n\n\n
                                  • Indicate when and how many follow-up requests to send (e.g., every Monday for two weeks).<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n
