{"id":5475,"date":"2026-03-22T21:20:00","date_gmt":"2026-03-22T21:20:00","guid":{"rendered":"https:\/\/www.greminders.com\/articles\/?p=5475"},"modified":"2026-04-09T23:39:01","modified_gmt":"2026-04-09T23:39:01","slug":"grouping-events-together-for-reminders","status":"publish","type":"post","link":"https:\/\/www.greminders.com\/articles\/grouping-events-together-for-reminders\/","title":{"rendered":"Grouping Events Together for Reminders"},"content":{"rendered":"\n<p>If you have multiple appointments for the same person on the same day or the same week, it may be a bit much to send them a reminder for each appointment.   <\/p>\n\n\n\n<p>Maybe you have 3-5 appointments for the same customer or patient in the next few days and want to remind them of all of them at once.<\/p>\n\n\n\n<p>Common Applications include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Education \/ Classes<\/li>\n\n\n\n<li>Trainers<\/li>\n\n\n\n<li>Healthcare <\/li>\n\n\n\n<li>Personal Reminders for tomorrow&#8217;s upcoming Events<\/li>\n<\/ul>\n\n\n\n<p>This is where grouping of events comes in handy.<\/p>\n\n\n\n<p>The way we &#8220;group&#8221; these appointments is by finding events that have the same phone number (SMS\/Phone Reminders) or email address (Email Reminders) on them.    <\/p>\n\n\n\n<p>Let&#8217;s say we have a calendar that looks like this:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"920\" height=\"343\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/multi_day_schedule.jpg\" alt=\"\" class=\"wp-image-5476\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/multi_day_schedule.jpg 920w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/multi_day_schedule-300x112.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/multi_day_schedule-768x286.jpg 768w\" sizes=\"(max-width: 920px) 100vw, 920px\" \/><\/figure>\n\n\n\n<p>And we want to send an SMS \/ Text reminder out Sunday at 5pm to notify our student, customer, client or patient of all the upcoming appointments\/sessions that we have with our organization for this coming week (next 7 days).<\/p>\n\n\n\n<p>Since they all have the same phone number, we know that we can &#8220;group&#8221; these appointments together.<\/p>\n\n\n\n<p>In order to send such a reminder we need to do the following.  Go to our Client Reminder section and create a New Reminder like this:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"955\" height=\"758\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/group_events_reminder_template.jpg\" alt=\"\" class=\"wp-image-5477\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/group_events_reminder_template.jpg 955w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/group_events_reminder_template-300x238.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/group_events_reminder_template-768x610.jpg 768w\" sizes=\"(max-width: 955px) 100vw, 955px\" \/><\/figure>\n\n\n\n<p>Lets break it down:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Here we select SMS as the &#8220;Send Via&#8221;<\/li>\n\n\n\n<li>We set the Timing to send at 5pm the Previous Sunday<\/li>\n\n\n\n<li>We create a template that uses the <code>collection.upcoming_events<\/code> field<\/li>\n<\/ol>\n\n\n\n<p>Since collection.upcoming_events is an &#8220;array&#8221; (or grouping of events for the next 7 days) we can loop through it like so:<\/p>\n\n\n\n<pre class=\"wp-block-preformatted\">{% for item in collection.upcoming_events | range: \"next week\" %}\n{{ item:title }} {{item:date_time_advanced | date: \"%A %b %e @ %l:%M%P\" }}\n{% endfor %}<\/pre>\n\n\n\n<p>The <code>item:title<\/code> is the title of one of the events, and <code>item:date_time_advanced<\/code> is the start date sent through a <a href=\"https:\/\/app.greminders.com\/support\/advanced-date-time-format\">date\/time formatter<\/a>.<\/p>\n\n\n\n<p>The output of this will look like:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"614\" height=\"522\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/sms_grouped_reminder.jpg\" alt=\"\" class=\"wp-image-5478\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/sms_grouped_reminder.jpg 614w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2023\/06\/sms_grouped_reminder-300x255.jpg 300w\" sizes=\"(max-width: 614px) 100vw, 614px\" \/><\/figure>\n\n\n\n<p>If there are no events of course nothing will send, and if you only have a single event then that&#8217;s what you will see in the list.   <\/p>\n\n\n\n<p>Please Note: the appointments need to be on the same calendar.<\/p>\n\n\n\n<p>If you want to change the time period for how far out to look, just change the &#8220;range&#8221; parameter to &#8220;tomorrow&#8221;, &#8220;this week&#8221;, &#8220;next week&#8221; or &#8220;+14 days&#8221;  (any number of days forward up to 30 is allowed)<\/p>\n\n\n\n<pre class=\"wp-block-preformatted\">{% for item in collection.upcoming_events | range: \"tomorrow\" %}\n{{ item:title }} {{item:date_time_advanced | date: \"%A %b %e @ %l:%M%P\" }}\n{% endfor %}<\/pre>\n\n\n\n<p>Of course, this works the same for Email Reminders as well.<\/p>\n\n\n\n<p>So if you have a bunch of appointments with the same clients in a single week and want to Group the events and only send 1 or 2 reminders, this is how you do it.<\/p>\n\n\n\n<p>Any questions?
