Profiles control which Features and Permissions those users have access to in GReminders. Think of them as &#8220;Permission Profiles&#8221; or &#8220;Security Profiles&#8221;.<\/p>\n\n\n\n<p>Profiles allow you to easily apply permissions and functionality to a number of users with just a few clicks.<\/p>\n\n\n\n<p>You can think of them as &#8220;Like Users&#8221; or perhaps as Departments, but it doesn&#8217;t need to be that way.<\/p>\n\n\n\n<p>GReminders ships with two out-of-the-box System Profiles:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Administrator<\/li>\n\n\n\n<li>Standard User<\/li>\n<\/ul>\n\n\n\n<p>By default Administrator has &#8220;global permissions&#8221; to everything. It is likely you are the administrator if you are reading this post.<\/p>\n\n\n\n<p>Standard User is a &#8220;normal user&#8221;.   <\/p>\n\n\n\n<p>However you may want to setup special Profiles for certain types of users. For example, you may have &#8220;Sales&#8221; users and &#8220;Non Sales Users&#8221;. Or you may have &#8220;Sales&#8221; and &#8220;Marketing&#8221; profiles.<br><\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"610\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2026\/03\/image-26-1024x610.png\" alt=\"\" class=\"wp-image-11355\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2026\/03\/image-26-1024x610.png 1024w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2026\/03\/image-26-300x179.png 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2026\/03\/image-26-768x457.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2026\/03\/image-26.png 1396w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Within Profiles you manage Permissions and Feature Access.<\/p>\n\n\n\n<p>Permissions simply control the features that this profile (and related users) has access to.  You can get very fine-grained in your permissions, whereby you can allow someone to view their client reminders, but not create new ones, etc&#8230;<\/p>\n\n\n\n<p>You can also grant the <strong>&#8220;Login as&#8221;<\/strong> permission to users independently of <strong>Global Admin<\/strong> permissions. This is ideal for support staff who need to assist team members without having full administrative access to the organization.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Use Case:<\/strong> Allow staff to log in as advisors to manage working hours or host settings.<\/li>\n\n\n\n<li><strong>Security Note:<\/strong> While a user with this permission can manage settings, they are still <strong>restricted from accessing Notetaker recordings<\/strong> while impersonating\/masquerading as another user.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">User Assignments<\/h2>\n\n\n\n<p>You put Users INTO a Profile.   ONE User can ONLY have ONE Profile.    You can assign as many users as you want to a Profile, but just remember a single user can only be assigned to a single Profile.<\/p>\n\n\n\n<p>It is best practice to keep your Profiles to a minimum, so you have less to manage.   Only create New Profiles if you need to give different permissions\/integrations or feature access to different Users.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Groups<\/h2>\n\n\n\n<p>Groups are used to Assign Managed Templates to a set of Users<\/p>\n\n\n\n<p>One User can belong to one or many Groups.   All Users always belong to an &#8220;Everyone&#8221; Group.<\/p>\n\n\n\n<p>Any questions?
