Depending on your scheduling preferences, you can use <a href=\"https:\/\/www.greminders.com\/how-it-works-meetings\" target=\"_blank\" rel=\"noreferrer noopener\">GReminders&#8217; booking links feature<\/a>, or you can use <a href=\"https:\/\/www.hubspot.com\/products\/sales\/schedule-meeting\" target=\"_blank\" rel=\"noreferrer noopener\">Hubspot&#8217;s booking links<\/a>. If you decide to use Hubspot for scheduling, there are some things you should know. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What Scheduling with HubSpot looks like in GReminders<\/h2>\n\n\n\n<p>To utilize Hubspot scheduling with GReminders, you must <strong>first sync your Hubspot with a Google or Microsoft Outlook calendar<\/strong>. Once you&#8217;ve got <a href=\"https:\/\/www.greminders.com\/how-to\/appointment-reminder-templates\" target=\"_blank\" rel=\"noreferrer noopener\">SMS reminder templates set up<\/a>, the system will run in the background to send messages to your participants automatically. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Hubspot Cancel and Reschedule Feature<\/h2>\n\n\n\n<p>When using Hubspot&#8217;s Cancel and Reschedule Features here are some things to note:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"602\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-5.54.44-PM-1024x602.png\" alt=\"\" class=\"wp-image-4461\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-5.54.44-PM-1024x602.png 1024w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-5.54.44-PM-300x176.png 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-5.54.44-PM-768x451.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-5.54.44-PM.png 1242w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>When enabling this option, Hubspot places a reschedule and cancellation link into the description field of the event when booked via Hubspot&#8217;s booking link.  This gives your client the ability to change or cancel the date and time of the appointment.<\/p>\n\n\n\n<p>If a client uses Hubspot&#8217;s cancellation link, Hubspot does not remove the appointment from your calendar. Rather, they decline all the participants and they prepend the word &#8220;Canceled&#8221; to the title, like so:<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.02.55-PM-1-859x1024.png\" alt=\"\" class=\"wp-image-4465\" width=\"430\" height=\"512\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.02.55-PM-1-859x1024.png 859w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.02.55-PM-1-252x300.png 252w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.02.55-PM-1-768x916.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.02.55-PM-1.png 872w\" sizes=\"(max-width: 430px) 100vw, 430px\" \/><\/figure><\/div>\n\n\n\n<p>Because of the way Hubspot manages cancellations, you will want to configure GReminders to handle Hubspot&#8217;s cancellations appropriately. The way to do that is as follows:<\/p>\n\n\n\n<p>Under Org Settings, select Opt Out, then scroll to the Keyword Blacklist field:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"380\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-1024x380.png\" alt=\"\" class=\"wp-image-4468\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-1024x380.png 1024w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-300x111.png 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-768x285.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-1536x570.png 1536w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2022\/11\/Screen-Shot-2022-11-30-at-6.12.55-PM-2048x760.png 2048w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Enter the word &#8220;Canceled&#8221; and save this change. This will prevent the system from sending future reminders for this type of canceled appointment. <\/p>\n\n\n\n<p>Because GReminders only recognizes appointments as &#8220;canceled&#8221; if they&#8217;re either deleted from your calendar, or canceled via GReminders <a href=\"https:\/\/www.greminders.com\/articles\/calendar-event-cancellations-options\/\" target=\"_blank\" rel=\"noreferrer noopener\">cancellation link<\/a>, you will not be able to send a GReminders <a href=\"https:\/\/www.greminders.com\/articles\/reschedule-and-cancellation-notifications\/\" target=\"_blank\" rel=\"noreferrer noopener\">cancellation notice<\/a> to appointments canceled via Hubspot&#8217;s cancellation link.
