When you ask your prospects and clients to confirm<\/a> their appointments with you, it\u2019s great to get confirmation they plan to show-up, but there\u2019s one more thing you can do to ensure your no-shows become a thing of the past – let them know you received their confirmation.<\/p>\n\n\n\n

Your affirmation of their confirmation will make it even more difficult for your clients to conveniently \u201cforget\u201d about their appointments. Plus, as you see below, you can use an auto-reply to confirmation to include additional information about the upcoming meeting.<\/p>\n\n\n\n

Setting up an Auto-Reply<\/strong><\/h2>\n\n\n\n

Auto-Reply works with both SMS text Reminders and Email Reminders<\/em><\/strong>. To set up an auto-reply response to confirmations, open your Client Reminder Templates<\/a> and follow the steps below:<\/p>\n\n\n\n

1.) After creating the content for your reminder that includes a request to confirm or cancel by replying with Yes<\/strong> or No<\/strong>, check the Set Auto Replies box. <\/p>\n\n\n\n

2.) Create an Auto-Reply for a Yes response and a No response. Include Custom Fields in your reply by selecting a dynamic field from the Insert a Field drop-down menu.<\/p>\n\n\n\n

Within just a few seconds after your client has confirmed with you, they will receive your auto-reply.<\/p>\n\n\n\n

Note: Auto-Replies do not work when clients confirm or cancel using a confirmation link.<\/em><\/strong><\/p>\n\n\n\n

Auto-Replies with Additional Information<\/strong><\/h2>\n\n\n\n

Auto-Replies are a great way to break up longer reminder text messages into smaller texts.<\/p>\n\n\n

If you would like your clients to visit a website for more information or to complete intake forms, include a link to the form in the auto-reply.<\/p>\n\n\n

After your clients confirm, reply with confirmation and a map to help them find you. You could include this link only for initial appointments when using Advanced Custom Criteria<\/a>.<\/p>\n\n\n

If you have a video about you or your company? Include a link to it with the auto-reply message.<\/p>\n\n\n

If you would like to share information like building codes, garage codes, etc., Auto-Replies are the perfect time to deliver the information to your clients.<\/p>\n\n\n\n

Auto-Reply Cancellation Messages<\/strong><\/h2>\n\n\n

An Auto-Reply message is a great way to give your clients who cancel an opportunity to quickly reschedule their appointments. Use the reschedule link field and everything is done for you.<\/p>\n\n\n

You can also use cancellation auto-replies to remind clients of any cancellation policies you may have and give them a chance to call and keep their appointment with you.<\/p>\n\n\n\n

What a Customer Response Looks Like<\/strong><\/h2>\n\n\n\n

When a customer responds to you from an Appointment Reminder Text, depending on your settings, you may receive an SMS or Email Response.<\/p>\n\n\n\n

Because SMSs do not come from your mobile phone number (Telecos do not allow us to \u201cimpersonate\u201d your phone number), we forward the response to you. Impersonation is also called \u201cSMS Spoofing<\/a>\u201d and is often used for illegitimate purposes.<\/p>\n\n\n\n

When a customer does reply, the SMS response to you looks something like this:<\/p>\n\n\n\n

From here you simply click on the phone number and you can respond directly to your customer.<\/p>\n\n\n\n

You may also receive an email response which looks something like this:<\/p>\n\n\n\n

You can reply to the customer from here, or click for more information.<\/p>\n\n\n\n

To manage if you want to receive SMS or Email Responses, please go to Host Settings within your account:<\/p>\n\n\n\n

Or, if you are an Administrator and want to override these settings for all your users, you can override them by clicking on Setup > General.<\/p>\n\n\n\n

\"\"<\/figure>\n\n\n\n

Note: a typical setup is to receive cancellations\/changes via SMS (so you can react to them immediately) and just get \u201cYes\u201d confirmations over email as seen in the screenshot above.<\/p>\n\n\n\n

Note, Not all countries support SMS Replies. If SMS replies are not supported we recommend you use the \u201cConfirm Link<\/a>\u201d in your template SMS messages.<\/p>\n\n\n\n
