Simply include your client\u2019s name and phone number in the title or description of your Google or Outlook calendar event and include the property location. In the example below, I\u2019ve used the word \u201cShowing\u201d in the title to trigger reminders for this event. The reminder template shown above will trigger an SMS reminder to go out to the client booked on the calendar in this example. Notice there are two Criteria, the <strong><em>Event Title contains the word or phrase \u201cShowing\u201d<\/em><\/strong> and <em><strong>does not contain the word or phrase \u201cUnder Contract\u201d<\/strong><\/em>. The reason for the second Criteria is to allow \u201cUnder Contract\u201d to be added to an event and stop all future reminders for this property. \u00a0<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Linking to Google Maps<\/strong><\/h3>\n\n\n\n<p>You may wish to include a link in the last reminder that goes out to clients prior to the showing with a link to Google Maps. This way, they can open the reminder, click on the link, and get directions to the property from wherever they may be at the time. To include a link to Google Maps, use a link in this format:  <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>https:\/\/www.google.com\/maps\/search\/{{ event.location | url_encode }}<\/code><\/pre>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Setting up Online Booking<\/strong><\/h3>\n\n\n\n<p>To create an online scheduling calendar, open Event Types\nunder your Avatar in GReminders. In this example, we\u2019re going to be using a\npop-up calendar that\u2019s opened with a button located next to the property\ndescription on the webpage. <\/p>\n\n\n\n<p>Start creating your event type by labeling the event, including a description, and determining your availability and how long you wish to allow for each home showing. Then, customize the message and include the address of the property to be shown. It is the Custom Variable that you created with the question, Property Address, you added above. You can access the custom variable in the Insert a Variable dropdown menu. Notice the copy button to the right of each event. We will use those shortly.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Creating a Pop-Up Button for your Website<\/strong><\/h3>\n\n\n\n<p>We will now need to edit our website code so we can include\na pop-up button next to each property. It will create a button that will copy the address and open a pop-up calendar for our second event:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>&lt;button onclick=\"CopyMe('INCLUDE THE PROPERTY ADDRESS HERE'); popIt()\"&gt;Book a Showing for this Address&lt;\/button&gt; &lt;- When you click here, the address will be copied to your clipboard<\/code><\/pre>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Setting up Reminders when You need Approval from the Homeowner<\/strong><\/h3>\n\n\n\n<p>If you need to get approval from a homeowner prior to confirming a showing, follow the steps below:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. Set up an Initial Client Reminder<\/h3>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"958\" height=\"725\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialWait-s.jpg\" alt=\"Set Up Initial Client Reminder\" class=\"wp-image-1778\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialWait-s.jpg 958w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialWait-s-300x227.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialWait-s-768x581.jpg 768w\" sizes=\"(max-width: 958px) 100vw, 958px\" \/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>First, you\u2019ll need to set the purpose of this reminder to \u201cInitial Booking\u201d.<\/li><li>Create a Criteria that matches the name of the Event Title (in this example it&#8217;s called View Home).<\/li><li>Set the timing to go out Immediately.<\/li><li>Include a note that the owner will need to confirm and the buyer will receive notification in 1 hour.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">2. Set up an Unconfirmed Initial Client Reminder<\/h3>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"952\" height=\"831\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialNo-s.jpg\" alt=\"Unconfirmed Client Reminder\" class=\"wp-image-1779\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialNo-s.jpg 952w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialNo-s-300x262.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/ClientInitialNo-s-768x670.jpg 768w\" sizes=\"(max-width: 952px) 100vw, 952px\" \/><\/figure>\n\n\n\n<p>This reminder is used when an hour lapses without the word \u201cConfirmed\u201d added to the appointment on your calendar.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Select \u201cInitial Booking\u201d as the Purpose of this reminder.<\/li><li>Add a Custom Criteria that indicates the Event Title Does Not contain the word or phrase \u201cConfirmed\u201d.<\/li><li>Set the Timing to 1 Hour. <\/li><li>Include a reschedule link or a link back to your website with the property listings.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">3. Set up a Confirmed Client Reminder<\/h3>\n\n\n\n<p>This Reminder is identical to the previous reminder except the\nsecond Custom Criteria is \u201cEvent Title <strong>Contains<\/strong> <strong>the Word or Phrase<\/strong>\nConfirmed\u201d<\/p>\n\n\n\n<p>If the homeowner confirms and you add the word \u201cConfirmed\u201d to the calendar appointment title, your client will receive this reminder instead of the Unconfirmed Reminder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Setting up a Confirmation Reminder for the Homeowner<\/h3>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"943\" height=\"919\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/HomeownerRequest-s.jpg\" alt=\"Request Homeowner Confirm\" class=\"wp-image-1780\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/HomeownerRequest-s.jpg 943w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/HomeownerRequest-s-300x292.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/HomeownerRequest-s-768x748.jpg 768w\" sizes=\"(max-width: 943px) 100vw, 943px\" \/><\/figure>\n\n\n\n<p>The Request that the homeowner receives is actually a<strong><em> Personal Reminder<\/em><\/strong>. To set up Personal Reminders, access your Profile (under the Avatar) and select Personal Reminders from the menu on the left.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Choose Initial Booking as the Purpose<\/li><li>Select Custom Criteria and this time, select <strong>Event<\/strong> <strong>Location<\/strong> Contains the word or phrase and include the Home Owner\u2019s address (or at least the street address that matches what is in the location on your calendar).<\/li><li>Indicate the Timing as Immediately<\/li><li>Include verbiage that indicates the homeowner needs to confirm YES within 1 hour to confirm the appointment. <\/li><li>Finally, Include the homeowner\u2019s mobile number as the Recipient.<\/li><\/ul>\n\n\n\n<p><strong><em>If the homeowner confirms with YES, you will receive the notification and will need to add the word \u201cConfirmed\u201d to the appointment on your Google or Outlook calendar. It must be done within an hour.<\/em><\/strong><\/p>\n\n\n\n<p><em>Note: You may wish to set up a Personal Reminder that goes out to this homeowner 30 minutes prior to the showing. Make sure you include the condition that \u201cEvent Title Contains the word\u2026Confirmed\u201d so the homeowner only gets the reminder if the showing is going to take place.<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Sending a Text Message to Multiple Clients about a New Listing<\/strong><\/h3>\n\n\n\n<p>This feature can be very useful for notifying a group of\npeople immediately about an event.<\/p>\n\n\n\n<p>You will first need to create Reminder Template(s). <\/p>\n\n\n\n<p>Note: This is a Client Reminder, not a Personal Reminder.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"962\" height=\"728\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/KeywordReminder-s.jpg\" alt=\"Set Up Keyword Reminder\" class=\"wp-image-1781\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/KeywordReminder-s.jpg 962w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/KeywordReminder-s-300x227.jpg 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2021\/10\/KeywordReminder-s-768x581.jpg 768w\" sizes=\"(max-width: 962px) 100vw, 962px\" \/><\/figure>\n\n\n\n<p>It\u2019s up to you how many of these Reminder Templates to create. It\u2019s pretty easy to just edit the Keyword which will be in the Event Title, so you can determine if it\u2019s easier to have several pre-made templates or if you just edit a single template.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Indicate Initial Booking for the Purpose<\/li><li>Include a \u201cKeyword\u201d (which we\u2019ll go into in greater detail in a moment) that will be in the Event Title (or leave blank and edit as you send these reminders out)<\/li><li>Set Timing to Immediately.<\/li><li>Make sure there\u2019s a link to a page where your client can view information about the property.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Creating Keywords<\/strong><\/h3>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"897\" src=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM-1024x897.png\" alt=\"\" class=\"wp-image-7011\" srcset=\"https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM-1024x897.png 1024w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM-300x263.png 300w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM-768x673.png 768w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM-1536x1345.png 1536w, https:\/\/www.greminders.com\/articles\/wp-content\/uploads\/2024\/05\/Screenshot-2024-05-01-at-5.47.03\u202fPM.png 1882w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Under the Org Settings menu, select Keyword > Add a Keyword.<\/p>\n\n\n\n<p>Determine a Keyword that best describes what type of property a group of individuals may be interested in. In the example, the Keyword MidNorth is used for Mid-priced homes in the Northern Suburbs. You could have Mountain View or Ocean View as a Keyword.<\/p>\n\n\n\n<p>Then, include the mobile numbers of clients who would be\ninterested in a particular type of property. You can see that you could include\nthe same number in multiple lists.<\/p>\n\n\n\n<p>If you use this method to send reminders, make sure you are diligent about removing numbers from the list for clients who may have purchased a property and are no longer interested in receiving alerts.
