The broader GReminders AI Agent uses information available across GReminders and connected systems to help with tasks such as Pre-Meeting Briefs, Ask Anything, AI Knowledge, document intelligence, and other AI-powered workflows.<\/p>\n\n\n\n
Together, these tools are designed to support the meeting lifecycle before, during, and after the conversation.<\/p>\n\n\n\n
GReminders AI Notetaker is an AI-powered meeting assistant that captures conversations and transforms them into usable meeting records.<\/p>\n\n\n\n
Notetaker can be used across several meeting environments, including virtual meetings, phone calls, and in-person conversations. GReminders supports virtual meetings through platforms including Zoom, Microsoft Teams, Google Meet, GoToMeeting, and Webex, as well as integrations with supported VoIP systems. In-person meetings can also be recorded through GReminders.<\/p>\n\n\n\n
Users can configure how AI Notetaker joins their meetings from their individual Notetaker settings.<\/p>\n\n\n\n
Notetaker can monitor selected connected calendars and automatically join eligible virtual meetings when a meeting link is included in the event location. Users can also elect to control when Notetaker joins meetings manually.<\/p>\n\n\n\n
For in-person meetings, users can start recordings through GReminders, including from the GReminders mobile experience. Scheduled meetings can be selected before starting the recording so the resulting Notetaker record is associated with the correct meeting.<\/p>\n\n\n\n
After a meeting, AI Notetaker generates a meeting summary based on the conversation.<\/p>\n\n\n\n
Rather than requiring users to manually review an entire transcript, the summary organizes the important information discussed during the meeting, including key points, decisions, and action items.<\/p>\n\n\n\n
AI Summary Templates allow organizations to control how meeting information is organized and summarized<\/strong>.<\/p>\n\n\n\n GReminders includes ready-to-use templates, or organizations can create their own.<\/p>\n\n\n\n Navigate to:<\/p>\n\n\n\n Setup \u2192 AI Summary Templates<\/strong><\/p>\n\n\n\n Templates can contain custom AI instructions defining what information should be captured and how the resulting summary should be structured.<\/p>\n\n\n\n Templates can also be automatically applied using criteria such as Meeting Types and Categories. If no criteria are specified, the default summary can be used and another template can later be applied to the Notetaker Record.<\/p>\n\n\n\n This makes it possible to create different summary structures for different types of conversations – for example, a Discovery Meeting may require very different information than a Client Review or internal meeting.<\/p>\n\n\n\n If the wrong AI Summary Template was applied, the Recording Owner can regenerate the meeting summary using another template.<\/p>\n\n\n\n From the Notetaker Record:<\/p>\n\n\n\n Call Summary \u2192 Three-Dot Menu \u2192 Regenerate Summary<\/strong><\/p>\n\n\n\n Select the appropriate template and regenerate the meeting summary.Add Additional Context When Regenerating a Summary<\/p>\n\n\n\n When regenerating an AI Summary, you can also provide additional context that may not have been explicitly available in the transcript.<\/p>\n\n\n\n Enable Enhance summary with additional context<\/strong> and enter the information or instructions the AI should consider when creating the new summary.<\/p>\n\n\n\n For example:<\/p>\n\n\n\n Jacob is John’s father who is living in New York in a retirement facility.<\/p>\n<\/blockquote>\n\n\n\n The additional context is considered alongside the transcript when the new summary is generated, helping produce a more relevant result when important background information wasn’t clearly established during the meeting. This functionality is also documented in GReminders’ AI Notetaker Templates guidance.<\/p>\n\n\n\n Each Notetaker Record can include a full transcript of the meeting, providing a detailed record of the conversation.<\/p>\n\n\n\n Within the transcript, users can jump to the corresponding portion of a recorded meeting using the play control or copy individual portions of the transcript for use elsewhere.<\/p>\n\n\n\n This gives users both levels of information: a structured AI-generated summary for quick review and the underlying transcript when exact conversational detail is needed.<\/p>\n\n\n\n AI Notetaker identifies tasks and action items discussed during meetings.<\/p>\n\n\n\n These action items appear within the Notetaker Record and can be used as part of the post-meeting workflow. With supported CRM integrations, action items can also be synced to CRM tasks rather than manually recreating each task after the meeting.<\/p>\n\n\n\n AI Notetaker can generate a client-facing follow-up email using the context of the meeting.<\/p>\n\n\n\n From a Notetaker Record, select Follow Up Email<\/strong> to generate an email based on the meeting.<\/p>\n\n\n\n Organizations can customize the instructions used to generate these emails through:<\/p>\n\n\n\n Setup \u2192 Email Follow Up Templates<\/strong><\/p>\n\n\n\n These templates are AI instructions rather than traditional static email templates. They allow you to control how AI structures and writes the follow-up based on the content of each individual meeting.<\/p>\n\n\n\n Users can select different templates, generate the email, modify the result, and copy it for use elsewhere.<\/p>\n\n\n\n When Google or Microsoft email is connected, GReminders can also save the generated email directly to the user’s Drafts folder or send it from the connected email account.<\/p>\n\n\n\n Users can take this further by configuring GReminders to automatically create a follow-up email in their Drafts folder after an AI Notetaker meeting. The email remains a draft until the user reviews and sends it.<\/p>\n\n\n\n <\/p>\n\n\n\n AI Notetaker can connect the information captured during meetings with your CRM.<\/p>\n\n\n\n Depending on the connected CRM and configuration, users can send meeting information back to their system of record rather than manually transferring notes after every conversation.
